Sage 100 and Sage 100cloud File Layouts Online

The Sage 100 2018 File Layout and Program Information detail is now available online. This information can be valuable when writing reports, designing data imports or just for obtaining a broader understanding of Sage’s structure.

 

The table and program structures are presently limited to Sage 100 and Sage 100cloud version 2018.

Prior releases of Sage 100 from version 4.x on have very similar table structures, except for Payroll and Job Cost which received complete revamps in 2018.

Check For Bad Dates (Vendor Code 9) In Sage 100 Files With This Free Utility

Sage has issued a new utility which can be helpful for uncovering pesky bad dates (Vendor Code 9) which can crop up unexpectedly in Sage 100 data tables.

As you may know, once your system finds a bad date it may stop processing further and prompt you with a Vendor Code 9 error message.

These bad dates may be tough to locate. Most people try to create a Crystal Report to read the data table and uncover the bad date(s) however even Crystal Reports may stop reading data unless you modify your SOTAMAS90 to allow for NULL Dates.

Now Sage has a new utility which will scan your data files searching for bad dates. It then creates a data file XXX (where XXX is your 3-character Sage 100 company code) XXX_CheckDate.txt in your \MAS90\HOME\Textout\

Once you locate the problem data file(s) you can then use the Data File Display and Maintenance to locate and fix the problem record(s).

Sage 100 Time & Billing Solutions Update

A question was recently asked about the status of Sage 100 Time and Billing and when might we see the next release. What follows is information shared by SWK Technologies about their progress with the Sage 100 and Sage 100cloud compatible version of Time and Billing as well as some changes to the existing Sage 100 Time and Billing Standard product.

 

You may recall that in February 2018 the developer SWK Technologies announced a renewed focus on updating their Sage 100 Time and Billing Professional to the latest Sage 100 release level.

SWK will refocus efforts on developing Time & Billing Professional in 2018, as well as additional solutions that deliver greater value to time entry, billing, and reporting functions. The relaunch of Time & Professional and Timekeeper, as well as the launch of new Time & Billing solutions, will be covered in greater detail at Meeting of the Minds 2018 hosted by 90 Minds in San Diego, California.

Since that time the development efforts have been ongoing and SWK Director of Product Management & Development Mark Janecek created this extensive update on where things stand with Time & Billing for Sage 100.

 

In response to customer feedback, SWK announced a renewed focus on our time and billing solutions and outlined our strategy for these products earlier this year. This renewed focus/strategy includes:

    • Time and Billing Professional – We are making an investment in Time and Billing Professional and actively moving it to the Sage 100 framework. The development team has been working on this project for the lion share of this calendar year and is making great progress. We are currently on track to have Time and Billing Professional on the Sage 100 framework in the first quarter of 2019. We recently brought in more development resources to keep to this project on track.

 

    • Timekeeper – Timekeeper is a Sage 100 framework module that integrates with Time and Billing Professional and Time and Billing Standard, it also integrates with Sage 100 A/R, Sales Order, Job Cost, and Payroll. We invested in updating Timekeeper to work with the new Sage 100 v2018 Payroll and Job Cost framework modules earlier this year. The solution can be run directly within Sage 100, from desktop workstations using Timekeeper Entry, or remotely in multiple configurations including a web client using a third-party add-on.

 

  • Time and Billing Intelligence – Time and Billing Intelligence (TBi) Is our newest addition to our Time and Billing Solutions portfolio. When building this solution, we focused on providing the in-depth reporting needs Time and Billing Professional/Standard customers had been requesting. This solution sits outside of Sage 100 and uses Microsoft SQL Server Express to crunch the data needed to generate the dashboards and data views. We also focused on ease of deployment – specifically, the installation process which includes wizards to setup MS SQL Server Express and establishes connectivity to Time and Billing Professional and Time and Billing Standard.

Simply stated, our strategy is to update these tools and add additional features to them so users can track the time with Timekeeper, bill the time with Time and Billing Professional, and analyze the time with Time and Billing Intelligence.

With our focus on Time and Billing Professional, we also announced that we would no longer update Time and Billing Standard past the currently available Sage 100 v2018 release. Customers running Time and Billing Standard with Sage 100 v2018 and earlier can continue using Time and Billing Standard; however to upgrade to Sage 100 v2019 (once released) and beyond customers will need to migrate to Time and Billing Professional. We have outlined a migration plan – any customer on active maintenance for Time and Billing Professional or Time and Billing Standard is entitled to the new Time and Billing Professional framework edition once released. Please note, we already have a migration tool to move customers from Time and Billing Standard to Time and Billing Professional (non-framework) for customers who wish to migrate now. Additionally, we are running a maintenance amnesty till the end of the month so clients can get back on maintenance easily.

Time and Billing Professional (non-framework) and Timekeeper are available for Sage 100 v2018 and earlier now. Time and Billing Intelligence will be available very soon. Sage 100 2018 Product Update 4 Available for Download

Sage has just released the latest product update 4 for their Sage 100 accounting product.

Before installing the update be certain to check with your Sage partner. If you are using any 3rd party enhancements you also should verify (and in many cases reinstall them) compatibility.

Product updates are self-installable bundles of fixes. These updates often contain new features which have been added between the major update releases (Sage 100 2019 ETA March 2019).

Sage 100 2018.4 is available for both Sage 100 and Sage 100cloud users.

New to this release:

  • Credit card EMV chip support
  • Processing payment cards with EMV chips through Paya (formerly Sage Payment
    Solutions) is supported when using the following card readers:
    • Ingenico ipp320
    • Equinox L5300
  • Consolidate multiple sales orders onto one invoice inside Shipping Data Entry
  • Sage University videos accessed from within Sage 100

Beginning with Payroll 2.0 for Sage 100 2018 the payroll updates are installed separately. The latest payroll release 2.18.4 was also released and users can download that update from here.

We are in the process of performing compatibility tests with StarShip for Sage 100cloud 2018 PU4. Please delay upgrading to Sage 100cloud 2018.4 as this interface is currently NOT supported. The 2018.4 release includes an enhancement to support multiple orders against a shipment resulting in extensive changes to Shipping Data Entry. We are actively reviewing the changes and options for supporting this enhancement and expect to provide an updated roadmap soon. We will contact you as soon as we have more information.

EMV Credit Card Processing For Sage 100 and Sage 100cloud

If you are accepting credit cards with your Sage 100 or Sage 100cloud accounting software then you’ve likely been asked by customers whether your terminals support the new EMV credit card security.

EMV cards are smart cards (also called chip cards or IC cards) that store their data on integrated circuits in addition to magnetic stripes (for backward compatibility). These include cards that must be physically inserted (or “dipped”) into a reader, as well as contactless cards that can be read over a short distance using near-field communication (NFC) technology. Payment cards that comply with the EMV standard are often called Chip and PIN or Chip and Signature cards, depending on the authentication methods employed by the card issuer.

 

The integration of credit cards offered by Paya eliminates re-keying and is fully supported by Sage 100 and Sage 100cloud across all supported version.

Sage North America is reintroducing their Sage Summit conference in 2019. Instead of one big conference, Sage has decided to host two conferences – one on the West Coast and one on the East Coast.

 

During 2018 Sage hosted a series of six one-day  Sage Sessions events across North America. These events were designed to be more convenient for customers and partners to attend since many would not have to travel overnight to reach one of the six stops on the Sage Session tour.

According to the Sage mailer:

We are thrilled to bring back Sage Summit in 2019 at two locations! You are invited to join us in San Diego on Feb 13–15 or in Atlanta on May 13–15.

With an audience of accountants, small-to-medium-sized businesses, and partners, we will focus on global cloud technology with relevant content, connections, and experiences that will provide actionable takeaways for future business success.

Each Sage Summit event will kick-off with an exclusive Partner’s Day, where you will learn more from Sage executives on market changes, our product strategy and dive deeper into product integrations. The day will end with a Welcome Reception for all Summit attendees.

Sage Sessions: Construction and Real Estate will be held in Portland, OR, on April 24-26, and will focus exclusively on Sage CRE solutions. For Sage Business Cloud Enterprise Management, Sage Sessions: Enterprise Management will be held October 2019. Separate communications will be sent with more details for those events.

Registration for Sage Summit San Diego and Atlanta open on November 20, 2018, and February 13, 2019, respectively. Pricing and a detailed agenda should be available shortly before the start of registration.

The content for both of the Sage Summit events will be identical so you only need to register for one event.

 

Sage 100cloud Premium ( SQL ) Temporary Keys For Upgraders

Sage recently made temporary premium (SQL) upgrade keys available for users moving from Sage 100 Standard or Advanced to Premium.

  • Added temporary 180-day no charge Premium Edition Test License
  • For use during upgrades to Premium Edition
  • Partner must request from Sage Sales Ops (SKU = G9QPREMTRIAL)
  • Existing Sage 100 customer must meet all of the following requirements:
  • Currently running Standard or Advanced Edition, preparing to upgrade to the Premium Edition, and, be active on Sage 100 Business Care plan

The reason for this temporary Premium registration key is that previously when upgrading to Premium there were certain situations where the prior Sage 100 registration keys would be invalidated before the company was able to fully upgrade to Premium.

This is due to the automatic registration key update built into these versions of Sage 100:

Sage implemented a license key update program starting with Sage 100cloud v 2016 PU 2. There have been reported issues with the service, as it will lock out users if there is anything out of ordinary with keys.

Versions of Sage 100 and Sage 100cloud which auto-update keys:

2015.5+
2016.2+
2017.0+

Note: Versions 5.20.3 (2015.3), 5.20.4 (2015.4), 5.30.1 (2016.1) will have the ability to update the payroll expiration date with the Update button by installing the Hot Fixes based on version KB 83158 ( https://goo.gl/NnlQbY ).

Note: Some third parties such as Job Ops may require a new registration key if the Sage USER KEY (not customer number) changes. The update process does not change customer or serial number but the Sage 100 USER KEY changes.

 

 

 

Sage 100 Year-End 2018 Version Requirements

As the year-end approaches, we’ve begun receiving calls from our customers about what version of Sage 100 or Sage 100cloud they should adopt in preparation for year-end processing.

In advance of the 12/31 year-end, an interim release download ( IRD )  is typically made available.  This download contains last-minute fixes to prepare your payroll or accounts payable system for W2 or 1099 filing. It may also include other changes required by last-minute tax law updates.

Sage 100 Versions required to install IRD and process year end:

  •  2016 PU5
  • 2017 PU1 or higher
  • 2018 PU2 or higher

Sage 100 v2018 users need this Payroll 2.0 Versions for processing year-end:

  • Sage 100 2018 users need Payroll 2.18.5 (available in mid-Nov)
  • Payroll tax table update ( TTU )will be available for 2016 and 2017 (Payroll for 2018 uses an Internet download to receive tax updates)
  • Payroll 2.0 does NOT require a TTU. Tax information is maintained in CLAD and system table changes will be pushed down via the Payroll Tax Update within the software.
  • Available December 19th (estimated)

Most importantly, please remember that this is the last year for Sage 100 2016 to receive any year-end related updates. If you are using this version of Sage 100 then, at the latest,  you will want to upgrade in the early part of 2019.

Sage CRM.com Hosted Discontinued August 31, 2019

Sage just announced the discontinuation of the hosted version of their Sage CRM. The product will still be sold to companies who want to load it onto their own servers or use the services of a private host.

Sage CRM continues to have an available integration to Sage 100 and Sage 100cloud. This announcement only impacts the Sage CRM.com product which Sage sold and hosted themselves for customers. The regular Sage CRM on-premises product is NOT retiring.

Dear Valued Business Partner,

We’ve recently undertaken a full review of our CRM portfolio. As a result of this review, we have made the difficult decision to retire the current Sage CRM.com hosted / cloud product as of August 31, 2019. After this date, you will no longer be able to access Sage CRM.com. This decision will enable us to focus our time and resources more efficiently to ensure we continue to deliver market-leading solutions for our customers.

Effective immediately, no further sales or upgrades can be purchased. Technical support will continue to be available until August 31, 2019.

Customers will be directed to contact their support provider for transition options. For your customers that are currently using this solution, we’d ask that you work closely with them to ensure that they do not permanently lose access to their data. Before August 31, 2019, data must be backed up to a separate location. Details on how to do this are available here.

Migration of data from Sage CRM.com to Sage CRM is possible, although as the data is in a different structure, some effort is required to match the necessary import structure. Sage is unable to provide a migration tool, instructions or support if this is the option the customer selects.

Sage Payroll Update 2.18.5 Available Now

Sage just released the latest version of their Sage 100 / Sage 100cloud Payroll module.

This update is for Sage 100 2018.1+ users and can be installed independently of the main Sage 100 product updates.

If you are using a version of Sage 100 prior to v2018 you need to update your payroll by using the product update or IRD (Interim Release Download) for that version.

Payroll Version 2.18.5 is for users of Sage 100 2018.1+ and features these enhancements:

  • Check and  Direct Deposit Stub Sort Options – A sort by field has been added to the printing window to allow sorting by Employee
  • Number, Employee Name, Employee Department and Name (if you use departments)
  • Salary Equalization Utility – Added to Time Track and used to adjust employee pay amounts in Time Track
  • Payroll Conversion Wizard – Locat tax conversion options expanded
  • Certified Payroll Reporting – Added to the Payroll reports menu

Sage has released product update 5 for Sage 100 2018.

This product update features the following enhancements as well as miscellaneous bug fixes:

Bank Reconciliation

  • Sage Bank Feeds – import bank transactions to Check, Deposit and Adjustment entry and match them against Sage 100 transactions

Job Cost

  • Certified Payroll Reporting – This report is added to the reports menu in payroll 2.18.5
  • Job Contractor Maintenance – Add info for each contractor you do business with via this feature found on the Job Cost setup menu
  • Cost Code Detail – This button has been moved to the MORE menu

Registration is now open for Sage Summit 2019 – San Diego which is scheduled for February 13-15, 2019 at the San Diego Sheraton Hotel & Marina.

This is the first of two Sage Summit stops in 2019.

The other Summit is scheduled for Atlanta May 13-15, 2019 with registration scheduled to open on February 13, 2019.

The San Diego and Atlanta events feature the same content so there is no need to register for both events.

StarShip Compatibility with Sage100cloud 2018.4+ Now Available

V-Technologies, the publisher behind the popular StarShip shipping integration software for Sage 100 and Sage 100cloud, has just emailed their users about updates to their Sage integration.

A new feature in Sage 100 2018.4+ allows for the combination of multiple sales orders onto one invoice. This new feature required some fine-tuning on the part of V-Technologies to ensure that their StarShip link integration which synchronizes data between Sage 100cloud and StarShip continued to function.

According to the November 29, 2018 email:

We have completed compatibility testing with StarShip for Sage 100cloud 2018 PU4. Our latest release of StarShip now interfaces with Sage 100cloud 2018.4 with the following limitation. StarShip will continue to create 1 invoice per order when consolidating multiple orders in a shipment. We plan to further enhance the integration to support consolidated information when using the invoice document as a source. This is planned for a 2019 release.

You are eligible to receive updates as part of your active software Software Maintenance plan.

Users already running version 18.0 need to run a web update to receive the latest build:

  • Exit the StarShip Server Manager and Client(s)

Sage 100cloud – Providex ( PVX ) vs SQL – Pros And Cons

As Sage 100 users migrate to  Sage 100cloud we are often advising them to consider whether a move to a SQL database may be of benefit to their operations.

One of the key benefits of the Sage 100cloud subscription is the ability to use any of the following flavors of Sage 100cloud with no additional charge for changing the underlying database driving Sage 100cloud:

  1. Sage 100cloud Standard  – Providex based
  2. Sage 100cloud Advanced – Providex based – runs in a client-server type environments
  3. Sage 100cloud Premium – SQL backend – runs on Microsoft SQL server

What’s The Best Option For Sage 100cloud: Providex or SQL?

Below is a condensed version of the pros and cons of changing your Sage 100cloud to a back-end SQL database. Typically we recommend considering this switch when you:

  1. Have significant database sizes (> 500 MB) and expecting to continue growing
  2. Noticeably slow reporting – especially with externally connected reports/queries
  3. 10+ users on the system concurrently (now or expected in the future)

Your end users don’t need to know anything about SQL. About the only thing they’ll notice is if they use the SOTAMAS90 for external reporting they will have to change drivers in favor of a connection to the SQL tables.

Benefits of SQL for Sage 100 and Sage 100cloud

  • No premium for premium (a true benefit of Sage 100cloud subscription)
  • External reports based on SOTAMAS90 pretty easy to convert to Premium
  • Customers notice a speed increase in external reporting (true value added)
  • Virtually all 3rd party ISV solutions work with Premium
  • Reporting via external tools/connections can be significantly faster
  • Straightforward to set up Sage 100cloud on Premium
  • The prior penalty for SQL speeds in native Sage screens seems mostly gone
  • Data File Display & Maintenance (DFDM) goes away but you can download a free DSD SQL DFDM
  • Skilled users can use SQL tools for query/changes (recommend locking users out of write capabilities)

Disadvantages of SQL for Sage 100 and Sage 100cloud

  • Need to be comfortable setting up a SQL server
  • Some customers reluctant to invest in a new server to maintain (especially if they don’t have on-staff IT person)
  • Sage has limited info about how to configure the SQL server
  • Easy to use SQL tools to change data without Sage 100cloud which could result in lost data if not performed by a qualified person
  • WO, MRP users can’t use Premium as of December 2018 (due Q1 2019)
  • Tricks you may do with Providex such as swapping in or out single data files are difficult/impossible with Premium
  • Cannot simply insert a new license key – a system upgrade will be required which involves migrating existing data to a new installation of Sage 100cloud Premium

Sage has just released their year-end updates for users of Sage 100 and Sage 100cloud.

These updates contain program fixes which some versions of Sage 100 and Sage 100cloud may need to process the end-of-year.

Please note that if you are using Sage 100 or Sage 100cloud version 2016 that this is your LAST year-end update.

Please consult with your Sage partner prior to installing any updates. Make a backup before year-end processing.

Sage 100 Payroll 2.19 – This upgrade is for users of Payroll 2.x which is installed for Sage 100 2018. – Download

  • *The 2018 IRD will be the last year-end IRD for Sage 100 2016

**The 2018 IRD only needs to be installed by Sage 100 2018 users if they are processing 1099-DIVs.

Sage 100 Payroll – Tax Table Update for Q1 2019Download

This tax table update (TTU) is available for Sage 100 Standard and Advanced versions 2017 and 2016. If you’re using Sage 100 2018, when the tax update is available, a message will ask if you want to install it when you start a Payroll task. Also, you can use the Payroll Tax Update utility to check for updates.

  • The TTU is required for federal tax filing and for filing in some states. This update impacts payroll tax filing for filing year 2019.
  • The 2019 Q1 TTU should be installed after processing W-2 forms for tax year 2018 and before processing the first payroll in 2019.
  • The 2019 Q1 TTU will be the last TTU for Sage 100 2016.

What are the key differences between Sage 100 and Sage 100cloud?

This is a question you probably have asked as you contemplate whether to change licensing to Sage 100cloud.

Sage has just published a handy PDF ( Sage 100 vs Sage 100 Cloud PDF ) which outlines what they believe are the key differences between their traditionally on-premises Sage 100 product and their subscription license based Sage 100cloud product.

Some key takeaways from our experience working with both Sage 100 and Sage 100cloud:

  • Sage 100cloud doesn’t natively run in the cloud – although you can have it hosted (for an additional fee) which is a popular option that tends to be attractive based on the ROI of hosting vs on-premises servers
  • Sage 100cloud allows you to select from the traditional Providex (Standard), Providex Client Server (Advanced) or SQL (Premium) versions with no additional charge (this is one of the most valuable benefits for many customers since previously the ability to use Sage 100 on SQL carried a hefty additional cost – which is no longer charged for Sage 100cloud subscribers).
  • Both Sage 100 and Sage 100cloud are compatible with the same product updates and generally the same enhancements/add-ons (unless listed below as Sage 100cloud specific)
  • No added complexity to install Sage 100 vs Sage 100cloud
  • Subscribing to Sage 100cloud usually doesn’t require an immediate version upgrade
  • Sage 100cloud EULA limits subscription increases to 10% annually
  • Although Sage 100 continues to be supported, future development efforts from Sage will likely focus on Sage 100cloud
  • All prior versions of Sage 100 data are upward compatible with Sage 100cloud (in most cases no data conversion/migration is needed)
